Smooth On- and Offboarding
With an HR system where it is easy to have a structured process of onboarding and offboarding, you get an efficient flow that avoids unwanted disruptions in the business. Plan templates for activities and tasks to be performed in the selected process and delegate to those responsible to then follow up that all steps are completed. Start an employment with a clear template for all employment tasks where you choose the flow, e.g. start registration with the responsible manager and then be completed by the payroll administrator with control and review. All employment periods can then be easily printed as employment contracts directly in the HR system.
Digital HR forms
Kontek HRM Employee gives you access to a library of around 100 of the most common HR forms that you can easily fill in and use. Create categories and forms for your personnel administration such as employment contracts, CVs, confidentiality agreements and certificates. Customise your forms according to your needs and then choose how you want to structure your different categories. Print, download, save directly in the system and send on for digital signing. All documents can be saved under each employee in a single view for easy access and history. Forms can retrieve data directly from the system for current or historical information.
All forms can be digitally signed if you switch on our e-signature feature.

Better appraisal interviews
Employee appraisal, performance appraisal or appraisal interview? There are many names for this favourite child. In short, an appraisal is a conversation between employee and manager. In the Kontek HRM Employee system, you can collect appraisals. Create templates and follow up your conversations in a single view. It is also possible to create separate form templates for other forms of conversations and follow-ups that may arise in the needs of the business. A modern, digital HR system enables smoother processes and documentation, which contributes to easier follow-up.
Customise your own fields
In the HR system, you can create your own dynamic fields such as organisation fields that are important for your company to manage information about different employees' salaries and employment. The fields can be authorised at the individual level (e.g. health, allergies, computer equipment, work clothes), which means that you can allow employees to update and/or read and access information themselves. The fields can be placed anywhere in the staff register and can also be linked to employment contracts. You can also monitor the values or dates of your own created fields.

The functionalities of the HR system include creating rosters based on seniority, making selections, adding/removing employees, excluding employees from the roster, and totalling periods of employment from different forms of employment and companies. The Kontek HRM Time system is also integrated to retrieve working days from timesheets. In case of equal seniority, priority is given to the senior employee, and finally, the roster can be exported in different formats (.csv or .xlsx) for local storage.

In Kontek HRM Employee there is a view to easily and clearly see if employees with Special Fixed Term Employment (SÄVA) and/or employees with Temporary Employment, have reached the number of days in a five-year period that entitles them to a Permanent Employment. A separate view lists the employees who are approaching or have passed the limit for permanent employment. This feature is very helpful in checking that all employees have the right type of employment.
Digital signatures
We work with Scrive and Verified to make it easy for you to send your documents for digital signature.
For example, send employment contracts, confidentiality agreements and personal data management. All documents can be easily checked directly in the HR system to follow up on status and send reminders. A natural step to eliminate paperwork and meet today's GDPR legislation. Signing is done with electronic ID document BankID (SE/NO).
Whistleblowing
In 2021, the new Whistleblowing Act entered into force. The law supports both employees and companies and aims to detect irregularities and misconduct at an early stage.
